Terms of Service

By creating an account or using Penpal.work ("the Service"), you agree to these Terms of Service. If you do not agree, do not use the Service. We may update these terms — continued use after changes constitutes acceptance.

Penpal.work is a sales pipeline tool. You BCC a unique email address on your outgoing quotes. We receive a copy of that email, extract relevant data using AI, and present it in a dashboard with follow-up drafts, reports, and customer management.

We do not access your inbox. We do not send emails on your behalf unless you explicitly approve a follow-up draft. We only process emails you actively BCC to us.

You must provide a valid email address to create an account. You are responsible for maintaining the security of your account. One account per person — accounts are not transferable. You must be at least 18 years old to use the Service.

Penpal.work offers a 14-day free trial. After the trial, a paid subscription is required to continue using the Service. Subscriptions are billed monthly via Stripe. Prices are listed on our pricing page and may change with 30 days notice.

You may cancel at any time through the billing portal in Settings. Cancellation takes effect at the end of the current billing period. We do not offer prorated refunds for partial months. If you believe you were charged in error, contact info@penpal.work within 14 days.

You own your data. We store your quote emails, extracted metadata, PDF attachments, customer records, and follow-up drafts. All data is scoped to your account and encrypted at rest. We do not share your data with other users.

You may export all your data at any time via the Export feature. You may delete your account and all associated data at any time via Settings. After account deletion, we retain data for 30 days (for recovery purposes), then permanently delete it.

We use AI (powered by Anthropic Claude) to extract structured data from your quote emails and PDFs, classify customer replies, and generate follow-up draft emails. AI-generated content (drafts, classifications) is presented for your review — you control what gets sent.

We do not use your data to train AI models. Your quotes and customer data are processed in real-time and are not retained by our AI provider beyond the duration of each request.

You agree not to: (a) use the Service for any unlawful purpose; (b) upload malicious files or content; (c) attempt to access other users' data; (d) reverse-engineer the Service; (e) exceed reasonable usage limits (we will contact you before taking action); (f) resell access to the Service without permission.

The Service, including its design, code, AI models, and branding, is the intellectual property of Penpal.work LLC. "Penpal.work" is a trademark of Penpal.work LLC. You may not copy, modify, or distribute any part of the Service without written permission.

You retain ownership of all content you upload (emails, PDFs, customer data). By using the Service, you grant us a limited license to process, store, and display your content solely for the purpose of providing the Service.

The Service is provided "as is" without warranties of any kind, express or implied. We do not guarantee 100% accuracy of AI-extracted data — you should verify important details against your original documents.

To the maximum extent permitted by law, Penpal.work LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenue, whether incurred directly or indirectly. Our total liability for any claim arising from the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

We may suspend or terminate your account if you violate these terms or engage in abusive behavior. We will attempt to notify you before termination unless immediate action is required. Upon termination, you may export your data within 30 days.

These terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles. Any disputes shall be resolved in the state or federal courts located in Delaware.
